What a Zoom Room Installation Actually Involves

A site survey comes first. A technician measures the room, notes the ceiling type, checks whether the walls are glass or drywall, counts the seats, and runs a network test from the exact spot the system will sit. That visit takes about 45 minutes and it decides everything after it.

Specification comes after the survey, never before. A glass-walled room on the 40th floor and an interior boardroom with a drop ceiling need different microphones even when the seat count matches, which is why conference room design starts with the room rather than a catalogue.

Cable runs get planned before the first hole goes in the wall. Plenum-rated cable above the ceiling, conduit where code requires it, and every run labelled at both ends. You get a written scope before anyone touches a wall, listing every part and every labour line. No allowances that turn into change orders later.

Hardware Chosen by Room Depth

Room depth matters more than seat count. The distance from camera to the furthest chair decides which camera can frame a face, and that’s the number we measure first.

Under 12 feet, an all-in-one bar handles camera and audio together. A Logitech Rally Bar Mini or a Neat Bar covers four to six people without a separate mic, which is the usual answer for huddle room solutions. Between 12 and 20 feet you move up to a Rally Bar or a Poly Studio X50, and table mics start to earn their place. Past 20 feet a single bar stops working, and boardroom AV solutions need a separate camera, ceiling microphones and a DSP to tie them together.
